Using Apple Mail With Gmail

Many people like the idea of using Gmail as the default mail app on their iPhone or iPad, instead of Apple’s iOS Mail app. However, they quickly run into trouble when they go to share a link from Safari or a file from another app and find the default Mail app pops up instead of the Gmail app you want to use. Nobody wants to have the same email in two apps at once or deal with duplicate notifications, so is there another way? In a roundabout way, yes, there is.

Google now considers the Windows Mail App a less secure app and therefore blocks it from doing some tasks. If you are concerned with this and while we wait for Microsoft to sort this out it might be safest to only use Gmail via a browser using mail.google.com. Hope this helps, Phil C. Could receive, but not send through the native iOS7 Mail app. I wasn't clear enough, sorry about that; I had to completely remove the Gmail account, re-enter all the information as the above response ( using the 'Other' option for email setup ) and set the account up all over again. The truth is, you can’t completely do away with the iOS Mail app for what I am about to show you. However, you also don’t have to use it to check your Gmail (or your Outlook, AOL, Yahoo! or other email services) in Apple’s default Mail app. Confused yet? Stick with me. You’ll see what I mean.

1. Start by going to Settings >Mail, Contacts and Calendars and add the Google account you want use for email. Your name, email and password is all you need.

2. Here’s the important bit. Once your account has been added and appears in Settings, look for the option just below it that says Fetch New Data. Tap that option and change the setting for Gmail from Fetch to Manual, (see image below).

What this means is that the Mail app is now linked to your Gmail account, but it will not receive any mail unless you specifically tap that app to make that connection, (that’s the Manual part above). So, if you don’t intend on using the iOS Mail app at all, you can go ahead and bury it in a folder on the last screen of your device. If you want to save it for another email account, go ahead and leave it where it is 🙂

3. Now, when you find yourself in the position where you want to share a link from Safari, or email a file from another app, go ahead and select Email from the sharing options. The Gmail app will not open a new email for you, the iOS Mail app will. However, it will send it from your Gmail account, and in my book, that is the next best thing. Any replies to your email will go straight to the Gmail app along with the rest of your mail.

Other Tips:

  • If you have more than one email account added on your device, you can choose the one you want by tapping on the email address field in the compose window and selecting the right one, or by going to Settings > Mail, Contacts and Calendars, and making Gmail the default account.
  • Remember that you can set signatures in the Settings app too. That way when you do share from another app, you can still have your preferred Gmail signature on the email that is sent by the Mail app. Set your email signature in Settings > Mail, Contacts and Calendars > Signatures.
  • You may want to turn off all notifications for the Mail app if this is all you use it for. That way, you won’t get double notifications or see the red badge icon showing how many new emails you have. You do this in Settings > Notifications. This can be done on a “per account” basis, i.e. you can disable notifications for your Gmail account, but leave them on for others in case you use the Mail app for multiple email account.

It’s a workaround, I know, but as of iOS 8.1.3, Apple does not let you set default apps in the same way that you can on Android. So, you have to get creative and this is about the cleanest solution I could come up with to accomplish what I wanted to do when sharing from non-Google apps.

You can send a finished movie to others in an email with the Mail app or in a text message with the Messages app.

  1. From the Projects browser, tap the movie you want to share. If you’re editing a project, tap Done in the upper-left corner.
  2. Tap the Share button , then tap Messages or Mail.
  3. Complete the message or email that was created, then tap Send.

If your movie is too large to send, you can reduce the size of the movie file. Cancel your current message or email, return to the share screen, tap Options, then choose a lower resolution.

If you want to watch the movie on another nearby Apple device, you can use AirDrop to transfer the file. You can also save your movie to your Photos library.

  1. From the Projects browser, tap the movie you want to share. If you’re editing a project, tap Done in the upper-left corner.
  2. Tap the Share button .
  3. To change the resolution or format of your movie, tap Options, then tap Done when you’ve set your options.
  4. Choose where you want to export your movie:
    • To use AirDrop, tap AirDrop, then tap the profile picture of its user at the top of the screen. Or you can use AirDrop between your own Apple devices.
    • To export the movie to your Photos library, tap Save Video. If you have iCloud Photos enabled, you can access the video from all Apple devices signed into the same iCloud account.
    • To save your movie to iCloud Drive, to a folder on your device, or to another third-party storage service you’ve enabled in the Files app, tap Save to Files, choose a location, then tap Save.

  1. In the Projects browser in iMovie, tap the project you want share, then tap the Share button .
  2. If you want to change the resolution of your video, tap Options under the movie title, then choose a resolution. 1080p is a good choice for sharing to the web.
    Lower resolutions like 720p HD produce smaller files that upload to the web faster than movies with higher resolutions.
  3. Tap Save Video to save your movie in the Photos library on your device.
  4. Open an app like YouTube or Facebook on your device, or visit the website for the service you want to use, then upload your video.

You can email your movie to others with the Mail app.

  1. From the Projects browser, select the iMovie project you want to send, click the More button, then choose Share Project. If you’re editing a project, click the Share button .
  2. Click Email.
  3. Click Share. If your movie file exceeds the recommended limit (usually 10 MB), you’ll see a warning on the share screen.
    Click the Resolution pop-up menu, choose a resolution that reduces the movie file to a size most mail servers support
  4. Click Share. Once iMovie has completed exporting the movie to email, you’ll see a notification.
  5. Complete the email that was created, then click Send.

When you save the movie as a file, you can add the movie to your Photos library, store it in iCloud Drive, or save it in another location. If you want to email the movie using another email client or other service, you should also save the movie as a file.

  1. From the Projects browser, select the iMovie project you want to send, click the More button, then choose Share Project. If you’re editing a project, click the Share button .
  2. Click File.
  3. Click the Resolution pop-up menu and choose a size for your video. The default resolution is based on the content of your movie. Choosing a lower resolution produces a smaller file that uploads to the web more quickly. Choosing a higher resolution produces a larger file that’s great for viewing on a Mac or on a high-definition television (HDTV) through Apple TV.
  4. Choose a location to save the video file, then click Save.
  5. Drag the exported movie file into the Photos app to add the movie to your photo library. If you have iCloud Photos enabled, you can access the video from all Apple devices signed into the same iCloud account.

iMovie provides optimized settings for sharing to YouTube and Facebook. This special setting also works well for sharing to other websites like Vimeo and Twitter.

  1. With your project open in iMovie, click the Share button .
  2. Click YouTube & Facebook.
  3. Choose a location to save the video file, then click Save.
  4. In a web browser, visit the website where you want to share your video, then upload the video file.
